Smarter tax intake for cleaner, faster CPA review

TaxFlo helps CPA firms collect the right client documents, ask fewer and better questions, and see exactly what is ready before preparation begins. Stop chasing. Start finishing.

The Problem

Tax season still starts with a generic checklist

Most firms open every engagement the same way. A standard client organizer goes out, it asks the same questions of a retired couple and a multi-state partnership, and then the follow-up begins. Document collection sprawls across email threads, portals, and last year's engagement folder. Staff sort them, rename them, check whether the key fields are even present, and build a spreadsheet just to track who has sent what.

Prior-year returns sit in the file the whole time. They are useful, and almost nobody has a structured way to turn them into this year's document requests and questions.

By the time review starts, the hardest question is often the simplest one: is this package actually ready, or does it only look ready?

How It Works

Last year predicts. This year proves.

TaxFlo separates prediction, proof, confirmation, exceptions, and professional review. That keeps the workflow intelligent without pretending software replaces tax judgment.

1

Prior-year returns predict

The prior-year return tells TaxFlo which topics are likely to matter for this client. Rental activity, a K-1, a home office, multi-state wages. Those become suggested documents and targeted questions instead of a blanket request list.

2

Current-year documents prove

Prediction is not evidence. Uploaded current-year forms — W-2s, 1099s, K-1s, business financials, payroll reports, state forms — provide the facts for the year being filed.

3

Questions confirm what changed

Documents cannot explain everything. Targeted questions confirm what still applies, what ended, and what is new: a dependent, a state, a closed business, a property sold.

4

Submit with a note handles exceptions

Not every gap is a blocker. When a soft item is missing and the client can explain it, they submit the package with a note rather than stalling until someone sends an email.

5

The preparer makes the final call

TaxFlo organizes, extracts, and flags. The tax preparer reviews judgment calls, ambiguous evidence, and final readiness. That boundary does not move.

The Difference

An adaptive organizer, not a static checklist

A traditional tax organizer is written once and sent to everyone. The tax workflow changes as the engagement moves, based on the client's profile, their prior-year return, what they have uploaded, how they have answered, and what the preparer has requested.

Capability Traditional organizer TaxFlo
Question set Identical for every client Adapts to filing type, prior-year topics, and answers given
Prior-year return Referenced informally, if at all Converted into suggested documents and questions
Uploads Arrive unsorted, reviewed manually Classified by type with key fields extracted by DocIQ
Missing items Discovered during review Surfaced during intake, separated by severity
Readiness A judgment call at the end Structured status the client can see throughout
Follow-up Email threads Document and question requests tied to the engagement
Platform Capabilities

What TaxFlo does

Adaptive tax intake

The client sees a checklist built around their situation, not a generic organizer. Required questions come before optional ones, and suggested items never block submission.

AI-Powered DocIQ

DocIQ classifies uploaded documents by type, verifies them against the engagement, and handles tax field extraction. PDFs become structured context your team can act on instead of read line by line.

Missing item detection and readiness

Every outstanding item is sorted into a category: required before a clean submit, optional, submit-with-a-note, preparer review, or hard blocker. Nobody has to guess what "incomplete" means.

Preparer review and corrections

Preparers see documents grouped by status, extracted facts, client answers, and review items. Fields can be corrected in place, and every action stays attached to the engagement.

Custom document and question requests

Ask for a specific missing document or write a new question without leaving the engagement. Reuse your firm's saved questions or pull from the TaxFlo standard bank.

Secure client portal

Clients upload, answer, message the firm, and submit from one guided portal with granular permission controls. Sensitive identifiers are masked on client-facing views.

Who It Serves

Built for the whole firm

One engagement, three hands

Client

Uploads documents, answers targeted questions, submits with a note where an item is genuinely unavailable.

Hands off a package, not a folder
Preparer

Reviews by status, corrects extracted fields, requests what is still missing without opening an email thread.

Hands off a reviewed engagement
Firm owner

Sees readiness across every engagement and every preparer, and where the week's attention needs to go.

Firm owners

  • Consistent intake across every engagement and every preparer
  • Visibility into who is ready and who needs action
  • Less staff time spent sorting, renaming, and chasing
  • A cleaner handoff from client to preparer

Preparers

  • Documents grouped by type and status, not dumped in a folder
  • Extracted fields surface amounts and identifiers up front
  • Client action separated from preparer-only review
  • Prior-year and current-year context side by side

Your clients

  • One clear next step, in plain language
  • Optional items that do not feel like failures
  • Prior-year context so they are not asked for things you already have
  • A safe way to submit when one item is genuinely unavailable
Where the line sits

AI assistance, professional control

TaxFlo uses AI for two jobs: classifying documents and extracting tax fields. Everything downstream — what counts as required, what blocks a submission, what needs a second look — runs on deterministic tax-domain rules and preparer review.

The platform does not prepare returns, decide positions, or file anything. It gets your team to review with cleaner inputs and fewer unknowns. The professional stays responsible for professional judgment, which is the only arrangement a firm should accept.

Security

How TaxFlo handles client data

Document exchange is encrypted end to end, access is protected by multi-factor authentication, and every action produces audit-ready logs. Permissioned sharing and review steps keep each document, question, request, and correction scoped to the engagement it belongs to.

Client-facing views mask sensitive identifiers including Social Security numbers, EINs, TINs, bank account numbers, and routing numbers. Preparer views show the fuller record based on role and workflow need.

Coverage

Designed for 1040 and entity return workflows

TaxFlo is built around the documents and questions that carry real weight in preparation, validated against realistic scenarios rather than a form count.

Questions

Common questions

Clear answers about TaxFlo, AI-assisted tax intake, client documents, readiness, security, and CPA control.

What is TaxFlo?
TaxFlo is a tax intake and readiness platform for CPA firms, built by AmitaSoft on the SafeVault document platform. It collects client documents, asks targeted tax questions, extracts key fields, identifies missing items, and organizes everything for preparer review.
Is TaxFlo just a document upload portal?
No. TaxFlo connects client documents, answers, prior-year returns, and firm requests into one unified workflow. Beyond collecting files, it continuously tests whether your tax package is complete, classifies tax items, extracts key amounts, and surfaces missing elements long before preparation begins.
Does TaxFlo prepare tax returns automatically?
No. TaxFlo strictly handles intake, extraction, organization, and readiness review support. The licensed tax preparer remains completely responsible for professional judgment, tax positions, and preparing and signing the actual return. Software assists the administrative workflow, but the preparer makes every final determination.
How does TaxFlo relate to SafeVault?
TaxFlo is the CPA and tax preparer workflow built on SafeVault, the underlying secure document platform. Provider accounts, document storage, and DocIQ extraction are shared. TaxFlo adds the tax engagement workflow on top.
How does TaxFlo use prior-year returns?
A prior-year return reveals historical schedules, income sources, entities, and dependents to anticipate what matters this tax season. TaxFlo converts those findings into personalized document requests and targeted questions, tailoring the intake checklist to each client rather than burdening them with a generic organizer.
Why can't a prior-year return mark a package as ready?
Prior-year returns predict potential tax topics, but they do not prove current facts. Dependents age out, investments sell, wages fluctuate, and businesses evolve. Preparation requires current-year documentation and verified answers. TaxFlo insists on current-year evidence before declaring an engagement package ready for preparer review.
What happens when a document is missing?
Missing items are separated into categories: required before a clean submit, optional or suggested, submit-with-a-note, preparer review, and hard blocker. The client sees which is which, and so does the preparer.
What does "submit with a note" mean?
It is an exception path for soft gaps. When an item is missing but the client can explain why, they submit the package with a note attached so the preparer can review the explanation rather than wait.
Can preparers ask their own questions and request specific documents?
Yes. Preparers can write a new question, reuse a question saved to the firm's bank, or select from the TaxFlo standard bank. Document requests are created inside the engagement and tracked against it.
What exactly does the AI do?
DocIQ uses machine learning to classify incoming client documents and extract critical tax figures into structured data fields. Everything downstream—readiness status, mandatory submission checks, validation thresholds, and review gates—operates on deterministic tax rules under the direct supervision and control of the firm's professional preparer.
How is TaxFlo different from OCR tools?
OCR extracts text. TaxFlo uses extraction as one step in a larger workflow that also covers document classification, missing item detection, client guidance, readiness status, and preparer review.
How does a firm sign up?
Firms apply directly online using the provider onboarding application. Our operations team reviews your firm credentials and verifies your business details. Once validated, you receive a secure email invitation to establish your provider account credentials and begin configuring client engagements immediately.
